Even well-run companies can struggle with inefficiency hidden in everyday processes. For Crickler Vending (“Crickler”), a regional leader in vending and office refreshment services, one of those bottlenecks was contract generation.
Each of Crickler’s three service lines – Vending, Office Coffee, and Micro Markets – required distinct contract templates. Managing them meant juggling multiple Microsoft Word files, retyping client details, and waiting on internal approvals that slowed down the sales cycle.
When Crickler began looking to modernize its operations, the team saw an opportunity to simplify and automate this process. Partnering with Ivory Law Group, they designed a workflow connecting Microsoft Forms → Power Automate → Clio Draft, streamlining contract generation and cutting administrative time by an estimated 10-15 hours per week.
The Company
With more than four decades of experience, Crickler has become a trusted name across upstate New York and Pennsylvania. The company provides full-service vending, micro markets, and office coffee programs to a wide range of clients.
Crickler’s growth and reputation are built on service and efficiency – qualities the company wanted reflected in its internal operations. Yet as the business scaled, its legal and administrative processes lagged behind the pace of sales.
The Challenge
Crickler’s contract generation process had become overly manual and error-prone. The company’s sales and operations teams relied on a collection of Word templates that varied by service type and pricing model.
Small deviations in contract language or missed updates could trigger time-consuming reviews and approvals. The lack of automation also created version control issues – teams weren’t always sure if they were using the latest approved templates.
“We were wasting hours every week fixing contracts that were either outdated or incorrectly formatted,” said Mark Houseknecht, Vice President. “Our sales reps were doing their best, but the process was just too manual.”
In addition to administrative work, contract redlines and negotiation rounds were taking up a significant amount of Mark’s time, since he often had to manage revisions without dedicated legal support.
The core challenges include:
- Outdated or inconsistent templates across departments.
- Manual data entry of client and pricing information.
- Time-consuming internal review for minor contract variations.
- Frequent version errors requiring internal review and approval.
- 2–3-day turnaround time for standard agreements.
The inefficiency wasn’t just administrative – it impacted how quickly new clients could be onboarded and how smoothly teams could operate.
The Solution: Automated Contract Workflows
Ivory Law Group collaborated closely with Crickler’s leadership to design a custom automation solution that leveraged Microsoft 365 tools the company already used. The goal was to make the process faster, more consistent, and easier to manage – without introducing unnecessary complexity or new software costs.
1. Streamlined Data Capture with Microsoft Forms
Crickler’s sales representatives now begin the process by submitting client and service details through a standardized Microsoft Form. This ensures all necessary inputs are collected consistently, every time.
2. Intelligent Routing via Power Automate
Once submitted, Power Automate and Ivory personnel identifies the service type and routes the data to the correct Clio Draft contract template. It automatically fills key fields: customer name, pricing, term length, and clauses – and flags any nonstandard terms for quick review.
3. Centralized Assembly and Review in Clio Draft
Contracts are automatically generated in Clio Draft, where they can be reviewed and finalized within minutes. The system ensures only current, approved templates are available, eliminating version confusion and reducing risk.
4. Optional Storage and Reporting
Completed contracts are securely stored in SharePoint, and a Power BI dashboard tracks metrics like turnaround time and time savings – offering visibility and accountability to leadership.
5. Legal Review & Redline Support
Ivory provided redline and revision support during client negotiations, reducing the time Mark previously spent managing changes.
The Results
The impact of the new workflow was immediate and quantifiable:
- Crickler’s leadership team saved an estimated 10–15 hours per week.
- Approximately $3,000 in weekly time savings, based on average burden.
- Turnaround time reduced from 2-3+ days to same-day contract generation.
- Consistent use of the most current approved templates.
“This automation has completely changed how our team handles contracts,” said Houseknecht. “It saves me easily 10-15 hours a week, and our team has stopped making versioning mistakes. It has made a meaningful difference.”
Beyond time savings, the automation created clarity and consistency – sales reps know exactly which templates to use, and leadership has confidence that every contract sent to a customer meets legal and operational standards.
Why It Works
The Crickler project demonstrates that effective legal process automation doesn’t require a massive technology overhaul. It’s about designing intelligently within existing systems and aligning business and legal goals.
Ivory Law Group’s approach prioritizes four key principles:
- Use familiar tools: Microsoft 365 is already in Crickler’s ecosystem.
- Automate repetitive work: Clio Draft eliminates manual data entry.
- Promote consistency: Approved templates and clause libraries support accuracy.
- Enable transparency: SharePoint and Power BI integrations provide oversight and measurable results.
By focusing on simplicity and integration, Ivory helped Crickler achieve high adoption rates without disrupting operations – showing how thoughtful automation can support efficiency gains and long-term scalability.
Lessons Learned
- Start with the pain point. Crickler’s success began with a clear understanding of where time was being lost. By targeting a single process – contract generation – the project delivered quick wins that built momentum for future improvements.
- Leverage what you already own. Many organizations overlook the power of tools like Microsoft Forms, Power Automate, and SharePoint. With the right design, they can rival complex software platforms at a fraction of the cost.
- Design for people, not just process. Automation worked at Crickler because it made life easier for sales reps, not harder. Simplicity drove adoption – and adoption drove results.
- Measure and communicate impact. The ability to quantify savings and turnaround time helped leadership see the tangible value of legal automation, reinforcing a culture of continuous improvement.
Conclusion
Crickler Vending’s automation journey is a model for how legal and business teams can work together to create meaningful efficiency gains. By rethinking a single process – contract generation – the company reduced errors, improved turnaround time, and reclaimed valuable leadership bandwidth.
The time savings came not only from automation, but also from Ivory’s ongoing support with redlines and negotiation revisions, which previously pulled significant time from leadership. For Ivory Law Group, this engagement highlights what’s possible when law firms act as process partners, not just legal advisors. This project resulted in a smoother workflow for Crickler – helping their organization work more efficiently and with greater confidence.
